PRHS Trips/Events/Activities

Before Event/Trip

  1. Start with an awesome idea
  2. Submit required forms (See Below for Links)
    1. Brightly Request (Facility/Custodial) (2+ weeks before)
    2. Transportation Request (2+ weeks before/4 weeks for overnight or 150+ miles)
    3. Fundraiser Request (beginning of the school year)
    4. Request for Subs (2+ weeks before)
    5. Help Desk Ticket (Tech Support) (2+ weeks before)
    6. Volunteer Paperwork (4-6+ weeks before)
  3. Advertise as needed (See below)
  4. Create a Spreadsheet of Students with 800#
    1. Share with Attendance Tech to code attendance (Two Weeks Before)
    2. Share with Activities Assistant Principal to check against No Privilege List (Two Weeks Before)
  5. Get Parent Permission Form Signed
    1. Keep with you on the trip. Turn into Attendance Office after trips.

Day of the Trip

  1. Confirm who is on the trip with Attendance BEFORE leaving.
  2. Take Parent Permission Forms with you in case of Emergency.
  3. Make sure to have an Administrative Contact in the case of Emergency.

After the Trip

  1. Turn in Parent Permission Forms to Attendance for records. (ASAP after)
  2. Complete a Staff News Article and let everyone know about your awesome experience! (ASAP after)

Make sure to complete if applicable:
Facilities/Custodial (required for anything that needs a PRJUSD facility and/or Custodial Services for set up, clean up, or during the event)

Trip/Transportation Requests - Required for ANY/ALL trips off campus (See Principal's Secretary/Athletic PPA for support)

Parent Permission Slips (Required for any activity that otherwise disrupts the normal school day (excluding athletics). (See Activities Director for support)

Technology Needs

 Fundraiser Request Forms

  • Required for any event in which funds are raised (on or off campus) (See Activities Director/Athletic Director for support)

Volunteer Forms

  • All none district personnel that are supporting an event/trip must follow our Volunteer process found here. This process can take a while! Plan Ahead. (See Principal's Secretary/Athletic PPA for support)

Request for Sub

  • Must be submitted if any substitutes are required to cover teachers at any site for the event/trip (See Principal's Secretary for support)

Contact the following people to help get the word out about your activity/event/trip. Make sure to include the 5Ws (What? When? Where? Who for?) Please also include an image or flyer.

  • Email the Principal's Secretary at least two weeks before the date

Marquee

  • Email Activities Director (Jenny Martinez or Jen Bedrosian) at least two weeks before the date

Social Media (PRCrimsonCrew) - Facebook and Instagram

  • Email Activities Director (Jenny Martinez or Jen Bedrosian) at least two weeks before the date
  • Share or Tag @PRCrimsonCrew from your organization's Social Media
